Job Description: We are seeking a dynamic, self-motivated professional to join our Executive Office team as our Council Coordinator. In this exciting role you will report to the Administration Manager, Innovation, Strategy and Intergovernmental Relations and be responsible for providing a wide range of confidential administrative support services directly to Abbotsford City Council, General Manager of Innovation, Strategy, and Intergovernmental Relations, as well as the City Manager’s Office and Mayor’s Office.

This position requires confidentiality in all matters of a sensitive or political nature. You will exercise considerable independence of action and judgment when dealing with officials, department leaders, employees and the general public. Your proven skills, knowledge and abilities as an Administrative professional, along with your experience in a political environment will make you an asset to the team. Your superior time management and communication skills will allow you to excel in a fast paced environment with numerous stakeholders and changing priorities. Your confidence, flexibility and quick thinking will assist you in dealing with the daily trials that come your way. Building and managing relationships with all levels of the organization will be essential as you establish yourself in this challenging and rewarding role.
Duties: The ideal candidate will possess strong organizational and interpersonal skills, supported by a solid foundation in administrative coordination that will prove vital for managing calendar scheduling, correspondence, processing invoices, as well as supporting the coordination of Conferences including registrations, accommodations, and all logistics. This position will also support the coordination of a variety of Committee meetings, general administrative tasks and provide back-up administrative support and coverage to other members of the administrative team. This position is a key point of contact via telephone, email and in person for this fast-paced and dynamic office, making excellent and professional interpersonal and communication skills critical to success.
Educational Requirements: As the Administrative Assistant you will have:
• a Diploma in Office Administration, Business Administration or related field;
• a minimum of two (2) years’ experience in Office Administration; and
• advanced Microsoft Office: Word, Outlook, Excel, & PowerPoint skills.

An equivalent combination of education and experience may be considered.
