Job Description: The Legal/Administrative Assistant position supports the City Solicitor, Assistant City Solicitors and Manager, By-Law & Licensing Services Division. In this key role you will be responsible for providing a wide range of complex and confidential administrative and legal duties, in a dynamic and challenging work environment.

The successful applicant will have a basic understanding of legal concepts and an ability to think critically in order to formulate and implement projects. Your primary responsibilities will consist of, though will not be limited to the following duties; coordinating legal support staff for effective coverage of ongoing duties; preparing and finalizing corporate reports, legal opinions, legal arguments, correspondence, complex Agreements, Contracts, Request for Proposals and other documentation; expropriation and civil litigation support and file management, including drafting pleadings, discovery requests and responses, compiling books of authorities and exhibits, trial preparation and ongoing file maintenance.

Your role will also involve preparing an annual budget, monthly analysis of computron reports to ensure expenditures are aligned to budget projections; timely processing of accounts payable and posting of accounts receivable; as well as processing payroll data, including ongoing maintenance of overtime and leave requests.

You have successfully completed an Administrative Assistant Certificate combined with a Legal Secretarial Certificate and ideally bring ten years of related work experience. However, an equivalent combination of directly related education, training and experience may be considered. Good knowledge of Microsoft Word, Excel and PowerPoint is an asset; along with highly developed organizational and administrative skills, with excellent verbal and written communication skills.
